Transcripts

An official transcript is a certified record of all postsecondary academic work done at Kirkwood Community College. It includes classes taken, hours earned, grades received, and credentials conferred.

Many colleges require that official transcripts be sent either directly to them electronically or printed and mailed directly to them in a sealed envelope.

How to Request a Transcript

Complete the online order form or click on the "Order Transcript" button in MyHub.

We do not accept transcript orders by phone, email, or fax.

To place the order, you will need to provide:

  • Personal and contact information
  • Your k-number or Social Security Number (if you've lost your k-number and don't have a Social Security Number, call 319-398-7600 for help) 
  • A major credit or debit card
  • An email account
  • Your signed consent

Transcript Options and Common Issues

Make sure your transcript shows the GRADES you expect it to.

  • In MyHub, click "Course Planner", then "Academics" in the left-hand menu (the graduation cap icon), then "Grades". Select the current semester and make sure each course has a Final Grade.
  • Don't rely on Talon to determine if a grade will show on your transcript.

Make sure your transcript shows the DEGREE or GRADUATION DATE you expect it to.

  • As soon as your graduation application is approved, we'll let you know by emailing your Kirkwood student email account. After you receive this email, your transcript will show the degree, diploma or certificate for which you applied.
  • To double-check this, run your Degree Audit in MyHub by clicking on "Program Plan" and then "Program Plan Progress". Select your program from the drop-down box. Degrees shown under "Credentials Earned" on the first page of the audit will appear on your transcript.

Editing Addresses: Once an order has been placed for Mail or Electronic Exchange delivery, you will not be allowed to change the recipient’s address.  You must place a new order with the correct address.

If you place an order for Electronic PDF delivery and provide an incorrect email address, you will have one opportunity to correct the recipient’s email. Contact the Enrollment Services for assistance.

Canceling Orders: Due to our automated ordering process, orders cannot be canceled once they are received.

Secure electronic delivery of official transcripts is available. If you have a form that needs to accompany your transcript, it can be uploaded when placing your order.

As long as you provide accurate information so we can find your Kirkwood record right away, your transcript can be delivered in just a few hours. Recipients you designate will receive an email with instructions to download your transcript. When they complete that download, you will receive an email notice.

Note: Electronic transcripts include the transcript key as an attachment to the PDF.

If you select the "Hold for Pick-up" option when ordering a transcript, you'll receive an email when the order has been received by Kirkwood.

Be sure to bring a photo ID and stop by the Enrollment Services Office, 3rd Floor Iowa Hall, Cedar Rapids main campus, to pick up your transcript.

Normal office hours are Monday through Friday, 8 a.m. – 5 p.m. with the following exceptions:

  • The college is closed on Fridays during mid-May through July. 
  • The college is closed on days noted as "College Holiday" and sometimes closes for inclement weather.

These transcripts are available for pickup for 30 days. Then they are destroyed and the fee is not refundable.

Processing Time: Orders are typically processed within one business day.  Electronic delivery may be slower during peak ordering times such as at the end of a semester.

Mailing Time: If you order a hard copy transcript to be sent through U.S. mail, please allow up to 20 business days for the recipient to receive and process your transcript. After 20 business days, you can report a missing transcript to the National Student Clearinghouse by calling 703-742-4200. International mail orders may require additional time.

Orders Requiring Manual Processing: If you complete an order after getting a message that "we are having trouble locating your transcript data", or if you select "hold for pickup", your order has to be processed by Kirkwood staff. Orders are processed Monday through Friday, 8 a.m. - 4:45 p.m. with the following exceptions:

Cost: $7 per transcript when delivered electronically.  Other delivery methods may have additional charges.

Refunds: We are not able to provide refunds if you enter order details incorrectly, or if you order the transcript before final grades/degrees are posted.  Please review your order carefully to ensure accuracy.

Kirkwood does not provide unofficial transcripts because they are rarely accepted by prospective employers or other schools in place of official transcripts. If you are a current or former student, you may obtain a list of your courses and original grades by logging into MyHub
