Policy Statement
E-mail is the official communication tool for Kirkwood Community College to communicate quickly and efficiently with students in order to conduct College business.  These communications will be sent to their Kirkwood Student email account.

Reason for Policy
The purpose for this policy is 1) to define the standard communication method to students; 2) set the expectations of the students, faculty, and staff; and 3) define the e-mail account life-cycle.

The Policy
Unless law, contract, or other college policy prohibits e-mail or requires another form of communication, Kirkwood Community College will send communications to students via e-mail to their Kirkwood Community College student e-mail address.  It is expected that the e-mail will be received and read by the recipient within a reasonable amount of time, as some communications may be time-sensitive.  This includes communications intended to meet the academic and administrative needs of the college, including business that is critical to the operation and function of Kirkwood Community College.

Security & Privacy
E-mail communications must comply with federal and/or state regulations and college policies.  Kirkwood Community College will not request personal and confidential information such as social security number, credit/debit card numbers, or bank account numbers be returned by e-mail.  Students are responsible for keeping their e-mail passwords confidential, and must not share their password with others or leave it exposed.

College E-mail Address
Kirkwood Community College e-mail addresses are of the form [name]@student.kirkwood.edu.  Current Kirkwood students are expected to have a k# (college id) and a student e-mail account.  Upon registration for at least one credit class, students will be provided a student e-mail account.  This account will be active until 9 months after the ending date of the students last registered class.  If a student’s email account becomes inactive, upon registering for another class, it will be re-activated.
 
Forwarding
Although students may choose to forward their College e-mail to another personal e-mail address, forwarding is not recommended.  There is a risk that forwarded e-mail may be lost or blocked.  Kirkwood cannot guarantee delivery of e-mail to any other mail domain.  Problems with forwarded e-mail will not absolve the student of responsibilities associated with college communications sent to their Kirkwood Student e-mail address.
 
Instructional Use 
Faculty will be requested to refer to this email policy and requirements in their course syllabus.
