WORK-STUDY POLICIES AND PROCEDURES
The Work-Study program offers you a chance to work at a part-time job allowing you to earn money to help pay educational or personal expenses. By being awarded Work-Study dollars, you are given the opportunity to obtain an on- or off-campus job. If you choose to work off-campus, it must be for a non-profit organization or public agency, and the work performed must be in the public interest. Work-Study is to be performed between the dates of July 1st– June 30th.
Steps to Obtaining a Position
- You will be contacted by letter to attend an orientation session during the summer to discuss Work-Study policies and procedures, as well as to interview for Work-Study positions. At this time you will need to complete an I-9, W-4 and Direct Deposit form. Appropriate identification (1- Driver’s License/picture ID, plus Social Security Card/certified birth certificate; or 2- current passport) will be required to complete these forms.
- Contact the supervisor of the Work-Study position you are interested in to set-up an interview.
- If hired, notify Amy Ashlock of the assignment you are accepting so that your name can be taken off the active list of students seeking employment. If you are not hired, or would like to interview for a different position, please contact Amy at 319-398-4952.
Expectations for Student
- Work-Study is considered a job, and there are certain job-related procedures and expectations. If job performance and/or behavior does not meet the expectations of the supervisor and/or the job requirements, you may be asked to find a different position or become ineligible for Work-Study depending on the circumstances.
- You are expected to show up for work at your scheduled times. If you cannot make it to work at your scheduled time, you need to call your supervisor immediately and let them know.
- While on the job, you must be performing work-related duties as determined by your supervisor.
- Appropriate work attire is expected at all times. See your supervisor for suggestions; it can vary with different Work-Study positions.
- Generally speaking, you can work up to 20 hours per week. See your supervisor for specific hours of work and scheduling.
- If at any time you wish to discontinue your Work-Study position, it is your responsibility to inform your supervisor immediately giving them two weeks notice, if possible. Then contact Amy Ashlock at 398-4952.
- If you do not show up for work for any reason and you do not contact your supervisor within two days, your Work-Study will be declined. You will not be eligible for Work-Study for the remainder of the Work-Study year.
Responsibilities for Supervisor
- The supervisor will determine your work schedule and job duties.
- The supervisor will monitor your time sheet and ensure it is turned in to the appropriate department for payment. Time sheets need to be turned in at the end of each month. Pay is deposited into your bank account on the 15th of each month. If this falls on a Sat. or Sun. you will be paid on the Friday before.
- It is the responsibility of the supervisor and student to monitor the hours worked to ensure that you do not exceed your remaining Work-Study award balance. If you work more hours than your award, the agency would be responsible for payment of your wages. You can contact Amy if you want to check on a remaining balance.
Pay Practices
- You will be paid at a rate of $7.75 per hour, unless told otherwise.
- Your pay schedule will be that of the agency for whom you are working. Check with your supervisor for details.
- To retrieve payroll information students are required to go through EagleNet. Log into ‘Eaglenet for Employees,’ click on ‘Pay Advices,’ click on the date of the paycheck you wish to view. You can print this paycheck stub for your records.
Since Work-Study is a form of financial aid, you will become ineligible for Work-Study immediately if any of the following occur:
- You withdraw completely from Kirkwood classes
- You drop to less than half-time for the semester (less than 6 credits)
- You graduate from Kirkwood Community College
Any hours worked after the date of any occurrences listed above will not be paid.
